Changing Reservations on SWABIZ

If you need to make a time or date change to a SWABIZ reservation, you can do so by following the steps below:

If You are Changing City Pairs

You will need to cancel the reservation and re-book a new reservation.  For example, if your original reservation was from Burbank to Sacramento and you need to change it to Ontario to Sacramento, you will need to cancel the reservation and re-book.

  1. Log into your Traveler Account by going to www.swabiz.com
  2. If you are a Booker/Travel Manager follow the steps below:
    • Login to "Travel Manager", and click on the "Travel Manager" icon (graph chart) next to "Route Map".
    • Click on "Travel Account Management".
    • Write the traveler's name in the box or just click on "Generate Report".
    • Click on "Book Travel" for the traveler who you will be changing reservations for.
    • Once you are in the traveler's Travel Account, proceed with step 3.
  3. Click on "Travel Tools" link at top of page.
  4. Click on "Change Air Reservation" link under "Air".
  5. Enter the Confirmation Number and the Credit Card Holder Name for the reservation you wish to change.  On State of California Department/Agency accounts, the Credit Card Holder Name should be "Stateof California". (Note there is no space between State and of).
  6. Check the box for the flight you wish to change and proceed with the reservation.

Canceling Reservations on SWABIZ

  1. Log into your Traveler Account by going to www.swabiz.com and click on "Login" next to "About Southwest" on top right of the page.
  2. Click on "Travel Tools" link at the top of the page.
  3. Click on the "Cancel Air Reservation" link under "Air."
  4. Enter the Confirmation Number and Credit Card Holder Name for the reservation you wish to cancel.  On State of California Department/Agency accounts, the Credit Card Holder Name should be "Stateof California". (Note there is no space between State and of.)
  5. Verify that this is the reservation you would like to cancel.
  6. If you have booked a fully-refundable fare, you will have to select what you would like to do with the balance of the funds. You can "Hold for future use" or "Request a refund of the refundable balance". Please select "Request a refund of the refundable balance" so the funds will go back to the state's credit card.
  7. If you have booked a non-refundable internet fare, you will only be able to "Hold for future use". Make sure to save the confirmation number and "Apply Ticketless Travel Funds" when you book your new reservation.
  8. Scroll down to the bottom and click "Yes, Cancel."
