Fleet Asset Management System (FAMS) Portal Vehicle Reporting

The Fleet Asset Management System (FAMS), created by the Department of General Services (DGS), provides a method for analyzing and reporting on mobile equipment and vehicle assets owned by state agencies. The information collected through this Web-based portal is used to support information requests from the Legislature and to prepare mandated reports for the state and federal government. Via a Web-based portal, each agency inputs data on its mobile equipment and vehicle assets, as well as vehicle usage and fuel consumption data. Three types of information are collected in FAMS:
 

Vehicle Data
Agencies submit information about each vehicle in its fleet each month. This information permits the state to analyze the types of vehicles used within the fleet.

Usage Data
Vehicle usage data should be submitted on a monthly basis by the 15th of each month. The usage data submitted should be for the previous month only. Monthly Vehicle Usage Summary data is should only be submitted for Ground Equipment, and is only required for vehicles that have an odometer. It is not required for general purpose vehicles including golf carts, riding lawnmowers, most construction and farm equipment).

Fuel Data
Fuel consumption data will be acquired for all state Ground Equipment. This data will permit analysis of fuel economy, CO2 emissions and other issues that are important to the state. Fuel consumption data will be collected from two sources.

Voyager Fuel Data

On a regularly scheduled basis, Voyager Fleet Systems will provide FAMS with a data file containing all purchases made by state agencies using the Voyager Fleet Credit Cards.

Non-Voyager Fuel Data 

  • Bulk Fuel: State agencies that have bulk fueling stations should provide a monthly data file using the FAMS fuel template. This file provides information about the fuel provided by each fueling station. Fuel data should be submitted on a monthly basis (by the 15th each current month for the previous month).
  • Fuel Data Cards: The data from fuel cards provided by entities other than Voyager (e.g. Pinnacle, PG&E, etc.) should also be submitted by each agency by the 15th of each month.

Important Update for All Fleet Coordinators
In order to better ensure reporting accuracy and system integrity, please confirm that all required fields in FAMS are filled in before you upload your data. Beginning September 1, 2010, uploaded templates and individual entries that contain data gaps of required fields will be rejected by FAMS. For more information or assistance, please refer to the appropriate instructions below.
Submission Guidelines
The Excel and Data files must be submitted to FAMS through the FAMS portal website. You must have a user account to login to the FAMS portal website. Please refer to the FAMS Portal user guide for specific instructions on how to upload the Excel file.

If you need a user account please contact us at famssupport2@dgs.ca.gov. Please include your First Name, Last Name, Email Address, Organization, and phone number.

Once you receive a user account, download the FAMS templates below. Then do the following:

1) Submit the FAMS Vehicle spreadsheet (Excel) with the required data fields listed in the Vehicle Spreadsheet instructions (PDF) document.

2) Submit a FAMS Usage spreadsheet (Excel) for January, 2008

3) Submit a FAMS Usage spreadsheet (Excel) for December, 2008.

4) Submit the completed SB552 Fuel template (PDF). Please note: This template is for the entire 2008 calendar year only.

Once steps 1 through 4 have been completed, beginning with January 2009 you will need to submit the following by the 15th of the following reporting month (for example: Submit the January 2009 reporting data by February 15th, 2009)

1) Submit the FAMS Vehicle Spreadsheet (Excel) with the required data fields listed in the Vehicle Spreadsheet instructions (PDF) document. Note: you only need to submit this if there are changes to your vehicle fleet such as new vehicle purchases or vehicle dispositions.

2) Submit the FAMS Usage Spreadsheet (Excel) with the required data fields listed in the Usage Spreadsheet instructions (PDF).

3) Submit the FAMS Fuel File (Excel) with the required data fields listed in the Bulk Fuel Spreadsheet instructions (PDF). Note: you only need to submit this template if your agency has bulk fuel
